Privacy Policy

Overview

This page explains what Schoolwise collects, why we collect it, and how we protect it, on our website, in the app, and in our emails and text messages. Schoolwise is operated by Schoolwise LLC, 2389 Main St, Ste 100, Glastonbury, CT 06033.

Information We Collect

• Phone number: to sign you in with a text message code, and for the texts described below.
• Email address: to send you school updates and, if you choose, to connect your Gmail.
• Family details: your name and your children's first names, grades and schools, so we show the right school information.
• Your questions: what you ask Schoolwise, so we can answer and make answers better.
• Preferences: your notification settings.
• Device details: basic device identifiers for app notifications and fixing problems.

How We Use Your Information

• To sign you in and run Schoolwise for your family
• To answer your questions about school events and information
• To make our answers more accurate
• To send you notifications about your school, if you turn them on

SMS Text Messaging

If you save a text message preference, we keep your phone number and your consent. We send no school alerts by text. If you do not finish signing up, a person on our team may send you one text to help; it is never sent automatically. We also reply to texts you send us.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be shared with any third parties.

• No sharing: We do not share, sell, or rent your mobile phone number or SMS opt-in consent to any third party or affiliate for marketing or promotional purposes
• How often: at most one follow-up text per opt-in, plus replies to texts you send
• Carrier fees: message and data rates may apply
• Opt out: reply STOP to unsubscribe or HELP for help, or write to support@schoolwise.ai to remove your saved preference

Gmail Integration

You can choose to connect your Gmail so Schoolwise reads your school emails for you. Google asks for your permission first.

• Read-only: We cannot send, delete, or change your emails.
• School senders only: After you connect, you confirm which school senders to sync, and we read only email from those senders. Your personal emails are never read or stored.
• Protected access: Your Google sign-in tokens are encrypted before we store them.
• Disconnect any time: Disconnecting in settings ends our access right away.
• No sharing: Your Gmail data is never shared with or used by anyone else. We use it only to give you school information in Schoolwise.

Schoolwise's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Analytics and Session Replay

We use PostHog and Google Analytics to see where people get stuck, such as the pages they leave and the signup steps they finish. PostHog also records what Schoolwise does for your account, such as the emails we send you and which AI model ran, how long it took and what it cost. These records can be linked to your account but never include the words of your questions, answers or emails. We use all of this only to run and improve Schoolwise. We never sell it, use it for advertising only to count signups from our own Google ads (below), and never build profiles for anyone but ourselves.

• What they see: the pages you visit, your browser and device, and a rough location. PostHog also records errors a page hits and taps on things that do nothing, never including what you typed. We remove everything after the question mark in the one-time links we email you before any page address is sent, so their codes never reach PostHog or Google. The signup steps we record carry fixed labels only, never your question, the answer, your email address, your child's name or your teacher's name.
• Who you are to them: a random ID before you have an account, never made from your email address, and your Schoolwise account once you sign in.
• Session replay: PostHog can replay a visit so we can fix broken pages. Everything you type is masked, and so are your chat conversation, the email address on the signup confirmation and the connected email, school and children's names on your settings page. Anything else on a page is recorded as shown.
• How you found us: when you sign up, we save the site that sent you, your first page, rough location, device type and a random analytics ID, and delete them with your account. A tagged link also sets a 30-day cookie, sw_ft, holding that first page, site and tag. It never holds a sign-in or verification code, or a referral code.
• Google Ads: Google Analytics tells our Google Ads account when a visit that started from one of our Google search ads goes on to sign up, so we can count which ads bring families. For each one it sends no more than that a signup happened, on which kind of page and whether it used email or Google, never your email address, name or child information. Personalized advertising and Google signals are off, and we share no audiences with Google Ads.
• Meta Pixel: when switched on, it loads only on public Greenwich school pages, Greenwich guide pages and signup pages, whether or not you are signed in, to count visits and signups from our Facebook and Instagram ads. Meta gets the page address, the page you came from, your IP address, browser details and a PageView or CompleteRegistration event. We send no custom event data, names, emails or child information. It sends nothing from chat, settings or other private pages, even when you reach them from a public page.

Your choices. We do not show a cookie or analytics consent banner yet. A browser setting or extension that blocks analytics scripts stops PostHog and Google Analytics. If your browser sends the Global Privacy Control signal, we do not set the sw_ft cookie or load the Meta Pixel; it does not change what PostHog or Google receive, and neither does Do Not Track. There is no setting that turns analytics off for one account. Deleting your account does not delete the analytics events or replays PostHog and Google already hold. They keep them as long as PostHog's and Google's own policies say, and we do not shorten or extend that. Write to privacy@schoolwise.ai about your analytics data and a person will answer.

Data Security

Your information is encrypted on its way to and from Schoolwise and when we store it. Only the people and systems that run Schoolwise can reach it. We keep a history of changes to family and child records.

If we learn that someone got into information about your child, we will tell you within 30 days of finding out, say what was affected, and say what we are doing about it.

Children's information. We use your children's information only to run Schoolwise for your family. We never sell or rent it. We never use it for targeted advertising. Nobody pays us to put anything in front of your family. You can correct your children's details in the app at any time and ask us to delete them.

Connecticut's Student Data Privacy Pledge. We follow Connecticut's student data privacy law, and we signed the state's Student Data Privacy Pledge. Connecticut accepted it on October 15, 2026.

Data Retention

We keep your information while you use Schoolwise. You can delete your account and data at any time in the app, or ask us for help at privacy@schoolwise.ai.

If you start signing up but never confirm. Until you click the link we email you, your email address, your child's grade and teacher if you gave them, and the question and answer from the demo sit in a pending signup record. The link stops working after 24 hours, and we delete the whole record a week after that. Nothing about you is added to your school's records until you confirm your address.

If you tell us your school isn't listed. We keep your email address and the school name so we can tell you when Schoolwise reaches it. We keep this until you ask us to remove it at privacy@schoolwise.ai.

If you use Schoolwise without signing in. We delete your chats, any question you saved to send after signing up, and our record of what you typed once they have gone 90 days without activity. A nightly cleanup does this, so it can take a few days longer. A chat we moved into your account when you signed up follows your account instead.

If you delete your account. We delete your family record, your children, your chats with Schoolwise, the emails you forwarded that were only about your family and their attachments, our audit history of them, the signup record that created your account, and the transcript of the question you asked in the demo. School-wide announcements you forwarded stay as school information, with nothing linking them to you. The analytics section above still applies. If you share a child with another parent, email privacy@schoolwise.ai and we will delete your account by hand within 30 days.

Third-Party Services

These companies receive information from Schoolwise to do the jobs listed:

• Running the app and storing data: Vercel, Supabase
• Reading school emails and writing answers: OpenAI, with Langfuse to check answer quality
• Email, text messages and app notifications: Postmark, Twilio, Firebase
• Background jobs and error reports: Inngest, Sentry
• Analytics, as described above: PostHog, Google Analytics, and Meta on public pages when its pixel is on
• Sign in with Google and Gmail: Google

Children's Privacy

Schoolwise is for parents and guardians. We do not collect information directly from children, and we do not knowingly collect information from anyone under 13.

We may update this policy. When we do, we post the new version here and change the "Last updated" date.

If Schoolwise moves to a new company, or is merged or acquired, the new owner keeps every commitment on this page for the information it receives.
